Senior Deputy Probate Register
NEOGOV is seeking a Senior Deputy Probate Register to support the Probate Court in Ingham County. The role involves processing legal documents related to estate and guardianship matters, providing information to attorneys and the public, and maintaining legal files according to court rules.

Responsibilities
Receives, records, and files legal documents related to probate proceedings
Processes, types, maintains all legal documents and legal files according to Statutes and Court Rules
Provides information to attorneys and the public on the filing of petitions, procedural requirements, prescribed time limits and related probate matters
Interacts and communicates on a regular basis with other courts, hospitals, and agencies, including the Family Independence Agency and Community Mental Health
Sets hearings and issues notices and subpoenas to affected parties, and schedules/reschedules
Accepts and receipts mental commitment petitions, assigns file number, makes copies, and files
Opens, processes and maintains guardianship and conservatorship files including but not limited to the developmentally disabled individuals, minors, and the legally incapacitated
Sets up new files for estates, verifies information, types orders, and enters information on filed pleadings and other case information to computer system
Reviews and verifies the account totals
Prepares cases for Probate Register or Judge, including preparing waivers and ensuring that other notices are set for hearing
Assists in maintaining case files and may review files prior to court action to ensure documents are in order
Performs indexing/entering of estate, mental, guardianship and other matters, using the Probate Court computer systems including the Case Management System, Electronic Document Management System, and Electronic Filing System
May serve as Court Recorder for Probate Division hearings, which may include mental hearings at various hospitals and mental health units
Processes out-going mail for pickup by postal service or county mail carrier
Performs a variety of related support functions such as typing forms, copying documents and receipting fees, filing documents and case files, filling will, certifying copies and related tasks
Monitors files for potential problems, discrepancies and deficiencies and conducts guardianship reviews while managing their assigned caseload
Acts as an advisor and assists the Department of Health and Human Safety, CMH, APS, CPS, local law enforcement and Hospitals regarding Court proceedings and technical aspects of filing both emergency and non-emergency petitions
Represents the Court in training opportunities offered to the public and outside agencies
Maintains the Ingham County Probate Court website as directed along with provide regular updates to both the website and case management system along with forms and packets
Assists in investigation and information by performing criminal background checks and Central Registry background checks on potential or assigned fiduciaries to assist the Court with determining suitability
Acts as Guardian Ad Litem on the Court’s behalf to conduct investigations for statutorily required Guardianship Reviews
Signs legal documents and orders with the force and effect of law for the Probate Register and/or Judge as permitted by statute
Qualification
Required
A minimum of an Associate's Degree in paralegal studies, legal studies, criminal justice or a related field or advanced training such as that acquired in the first two or three years of college/university, technical school, or business school is required
Two years of experience including word processing, office procedures, and public relations
May be required to be certified as an Electronic Court Recorder or Electronic Court Operator by the Michigan Supreme Court within six months after employment
Demonstrates effective communication skills by engaging, interacting and working with all individuals to ensure clarity and understanding in all interactions
