Executive Administrative Assistant to the President

All God's Children International is actively seeking a dedicated individual to serve as their Executive Administrative Assistant to the President. This role provides high-level administrative support, manages schedules, coordinates travel, and serves as a liaison with various stakeholders.

Responsibilities

Manage and maintain the President’s schedule, including appointments, meetings, and conferences
Coordinate domestic and international travel arrangements, including transportation, lodging, and conference registration
Create and maintain detailed travel itineraries
Prepare executive-level responses to routine memos, letters, and correspondence
Compose, draft, and proofread a variety of documents, many of which are sensitive and confidential
Scan, copy, and send group notifications using platforms such as Microsoft Outlook and Teams
Attend Executive Team and other leadership meetings; record minutes and track follow-up tasks
Organize monthly staff meetings and assist in planning staff retreats
Coordinate logistics for Board of Directors meetings, including scheduling, agenda preparation, distribution of materials, and maintaining meeting minutes
Assist in preparing presentations, reports, and materials for meetings and events
Provide in-person and in-office support when needed
Support the President with general clerical and administrative tasks
Manage special projects by establishing objectives, setting priorities, coordinating with others, and adjusting plans as needed
Provide support for organizational programs and strategic initiatives
Perform other duties and special projects as assigned

Required

Bachelor's degree with a minimum of four years of experience providing administrative support to a senior-level executive. An equivalent combination of education and experience may be considered
Demonstrated experience in scheduling and calendaring, preferably using Microsoft Outlook
Proven ability to compose, edit, proofread, and format written materials
Ability to type 55 WPM
Intermediate level skills with Microsoft Office Suite (Word, Excel, Access, Outlook, and PowerPoint)
Must reside in the Portland, Oregon area to provide occasional in-office and in-person support
Strong organizational and time-management skills with the ability to prioritize and multitask effectively
Excellent written and verbal communication skills, with attention to detail and professionalism
Ability to maintain confidentiality and handle sensitive information with discretion
Calm and courteous demeanor under pressure
Collaborative team player with a spirit of cooperation and openness to all levels of work
Ability to anticipate needs, take initiative, and work independently
Respectfully takes direction from the President and Executive Team
Maintains punctual, regular, and predictable attendance
Ability to read, analyze, and interpret general business correspondence, reports, and inquiries
Ability to write error-free business correspondence, reports, and presentation materials
Ability to effectively present information and respond to questions from supervisors, donors/sponsors, clients, vendors, organization partners, and the general public
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
Calculates currency conversion, discounts, and interest, when needed
The job requires advanced computer skills, including logging on to systems, word processing, spreadsheet, report writing, project management, presentation creation/editing, database, use of the internet, and communication by e-mail
Requires knowledge of and use of Microsoft Office 365, including Outlook and Teams
Ability to work with and protect extremely confidential files and information, and have the appropriate discernment regarding handling issues of varying complexity and sensitivity
An ability to define problems, collect data, establish facts, draw valid conclusions, and deal with a variety of abstract and concrete variables
Has the discretion to weigh the levity of an issue and pass it along to the appropriate party/leader within the organization, as needed
Must possess a valid driver's license and ability to supply appropriate documentation/identification to travel authorities when traveling domestically and internationally
