They are seeking an entry-level HVAC Service Coordinator to support the coordination of HVAC maintenance and installation projects while assisting with administrative duties related to HVAC operations.

Responsibilities

Schedule and coordinate routine HVAC maintenance, repairs, and installation appointments with technicians and clients
Maintain detailed records of all HVAC equipment, including maintenance histories, warranties, and service schedules
Process work orders and maintenance requests, ensuring proper prioritization and timely completion
Assist in managing inventory of HVAC parts and supplies, including ordering and tracking
Create and maintain preventive maintenance schedules for HVAC systems
Communicate with clients, contractors, and team members regarding project status and updates
Prepare basic reports on maintenance activities, equipment status, and project progress
Handle administrative tasks such as filing, data entry, and document management
Assist in coordinating emergency HVAC service calls as needed
Support the development and implementation of energy efficiency initiatives

Required

High school diploma or equivalent required; Associate degree in facilities management, construction management, or related field preferred

Excellent written and verbal communication abilities
Detail-oriented with good problem-solving skills
Ability to work independently and as part of a team

Preferred

Prior experience in facilities management or construction coordination
Knowledge of building maintenance management software
Basic understanding of building codes and safety regulations
HVAC certification or related technical training
Experience with project scheduling and coordination
